The rooms the team has reserved are primarily for the players that don't have family going. Some of you plan to stay with your parents and some wish to remain in the rooms they signed up for. I didn't really anticipate having so many parents go. Also it seems that all the chaperones have gotten their own room already.
So..... now that we are only getting five rooms, if you are staying in a team room you need $60, if you are staying with your parents you need $15 to help cover tournament costs. I know this seems confusing but I'm trying to make this as fair as possible.

I forgot to add sales tax to the hotel rooms which are acctually $69/night so the per person cost will be $80. Checks can be made to Dexter Rugby Club.
Also the two team dinners in the itinerary will be paid for by the club, it will probably be very similar to what we have done before. Bring money for lunch and any other snacks or needed supplies for the weekend.
Any free time we have available especially Saturday evening you must check in with your designated chaparone. Please be responsible, not only do we represent Michigan, but we also represent Dexter and its community. This is our first appearance at midwest and we need to make a good impression.

I believe we will be staying in the Ramada Inn, they have ten rooms available. Paul needs to confirm it with a salesman. If you would like to book your own room for a family there is some information available below on hotels and the area. If you can't get a room at the Ramada please try to get one as close as possible. I would like to have everyone in the same place if at all possible. As I said before we have three games total, two Saturday and one Sunday so all rooms need to be booked through Saturday night.
Ramada Inn is $65/night, the cost for us to participate in the tournament is $300. So for ten rooms, two nights and tournament cost the bill is $1600. Spread over 22 required players for the trip the total cost per player is $73. If anyone has trouble finding money to go PLEASE contact me asap and we will work something out. This all needs to be turned in Friday before we depart Dexter.
I really need an accurate count of everyone so the cost may change. Those of you that will be getting a room for your entire family please let me know, we may be able to eliminate a room and lower the cost.

I finally recieved the info packet for the tournament, we are going to have to leave Dexter at 2pm friday so we can get to Elkhart to do our formal check in before the grounds close. Please read everything below very carefully there are a lot of important things to note. One big thing to note, all players must have a photocopy of proof of ID, proof of health insurance, and their student ID. Also I thought we would only be playing two games but we will play a deffinate three games in the tournament, two games saturday at 9am and 1pm, and then one game sunday TBD. If we make it to the finals we will have a fourth game on sunday. I will post more information later this weekend. Thanks again to everyone for your continued support.

GENERAL INFO FOR ALL TEAMS (Championship & Festival Brackets)
Gate & Entry: Upon check in your team will be given admission passes. All teams should check in for the first time at the front gate area only- and do so as a complete team. Team/Event entry fees are due at this time/check-in. Checks can be made out to: Moose Rugby Grounds ($300.00 for Championship team, $250.00 for Festival team and $100.00 for Developmental). One gate pass per CIPP listed player will be issued (plus coaches) during check-in. Players and coaches must present these passes to enter the facility at all times- no exceptions.All fans will be charged a $5.00 per day or $7.00 weekend pass fee.
Concessions & Restrooms: The Grounds has full on site concessions. Teams can expect a full hot menu and several cold drinks at reasonable rates. Restrooms are next to the concession area under the pavilion. Additional port-o-lets will be on the grounds too. Please use the restrooms. Failure to do so is cause for removal as well.
Rugby Imports: Will again be on site for the entire weekend. Please support them and buy your rugby gear from them at this event and thru the season.
Teams Camp Sites: Please stick to the assigned site location as posted. Sites shown upon check-in. This helps us to find you if needed. Please clean up your site from all trash and such after each day. We may mow each night & turn on sprinklers, so please collect the trash and use bins.
Tents: Teams may order tents from Grand Event Tent Service – they may only be delivered on Friday prior to the event as the host staff will be there to direct the tent company for set up locations. No team may erect its own tents without checking with host staff first due to irrigation line and past breaking of those lines by teams.

Trainers-Doctor-Hospital: The event will have 3-4 medical trainers on site all weekend, as well as a doctor centrally located. See the medical tent for your needs. Pre-match taping is also available for no cost if you provide the tape. The hospital is 10 minutes away if needed and directions are at the medical tent as well as concession stand. Only referees will be able to call medical assistance onto the fields.
Ropes & Restraints: No players are to be in front of the ropes at anytime. Two coaches from each team will be allowed in front on each sideline (4 total coaches from each team). Coaches are expected to control players, fans and fellow coaches at all times. You must demand good sportsmanship, use of language, and behavior standards. Teams should occupy opposite sides of the fields during all matches.
Parking: There is paved parking in front of the facility for 300+ cars. There is also a back parking lot that fills quickly for another 200 cars. The drive between the fields will be closed for traffic. All gate traffic is walk-thru only. Busses should drop off and pick up in the front lot. Event security will direct traffic- please obey them.
Hotel Info: See the attached documents for several choices. All hotels are no more the 3 minutes from the Grounds. Please list your hotel with the check in person so we know how to reach you if needed.
Pre-Game/Warm-Ups: The festival field is often open for pre-match warm ups. If it is booked with a festival match, they have first right. Warm up at your discretion in other common sense areas. No warm-ups are allowed on the fields before any games. Also, team chants, field grinding should be done off the field playing area- not under the goal posts tearing up the ground.
Match & Event-Discipline: The referee will have the final say in all on field issues. Yellow and red cards will be reported to the MW. An issued red card is dismissal for the event. Local police will be on site for event security as well as event security-please obey their requests. Anyone can and will be escorted from the Grounds by police that is not acting in an orderly fashion. Teams are expected to control all fans, players and coaches at all times, and act with sportsmanship. Players caught stealing from vendors will be removed and prosecuted. That players team will also not be allowed to return for 2 years to the event.
Tournament game balls: are provided by Rugby Imports. If your team kicks one over the fence on the Red Field, the COACH ONLY near the road should get it- WATCH TRAFFIC- NO PLAYERS IN THE STREET PLEASE.
The games balls should be returned to the referee after each match.
Trash & Clean up: Please keep the grounds clean by using the trash bins. Your site is your responsibility to keep clean. Your union may lose a seed next season if your site is not clean each day when you leave the Grounds.
The Pavilion: seats about 200 people. It is not a dressing room or camp area. It is for vendors and for people to enjoy the concession area.
No Pets or grills are allowed into the grounds for the safety of others.
Play Area-Kids: There is a great play area for young kids. They must be supervised at all times by an adult. Also, understand that this area is near the field and balls do fly into the play area. As always, “play at your own risk”.
The Lodge: the Moose Lodge building or main building in front is a private club; you may not go into the main lodge for any reason. Thanks for your cooperation.
FESTIVAL BRACKET TEAMS ONLY Festival Bracket-Event: A fun festival bracket will be held for 16 B-teams, local sides, and others that wish to be at this event. These teams need to report the front gate for the fist time getting event passes, but do not need to formally check in like the championship sides. The festival event fee of $250.00 will be paid at this time too. See schedule for games
CHAMPIONSHIP BRACKET TEAMS ONLY Team Check In-Champions Division Only- teams are required to do a formal player check. The following rules and criteria are very important, follow it exactly so all players are able to compete. You must schedule a formal time to check your team in with Midwest HS Chair Bob Cronquist Friday evening or 2 hours prior to your first game. Check in at the front-main gate- where teams will be given entry passes to the facility.
Friday at the Grounds- 4.00pm to 6.30 pm
Saturday at the Grounds- 7:30am to 10am
*Bob Cronquist, HS MW Chair will do the check-in process.
Each player will show at check in, a single Xerox sheet with the following on it: A) Proof of age (usually drivers license, or birth cert) B) Copy of insurance card C) School ID
Team Requirement The coach will provide a current CIPP listing off the web site as his team rooster/check in sheet.
Championship Bracket-Team Entry Fee: All teams must pay a $300.00 fee to compete. This fee is due at team check in. The check may be payable to Moose Rugby Grounds. The MW no longer has a budget for this event, so your fee covers referee, medical, and all cost associated with running this event. The host does not profit from your entry fee!
Event Format: Bracket style. The brackets will be sent as soon as each union releases the competing teams. Teams will all play 3 games (2-sat and 1-sun), 25 minute halves. The 4 teams that are playing for the final 3 MW bids will each play a fourth match that will determine final MW rank. This format will be easily understood when the bracket is seen. All games must be played/honored or your union may loose a seed next year.
Scoreboards: the boards are for general information only. They are not official and may not be always correct. You must check with the referee for official scores and exact times…he is sole judge and final say on that subject.
Coin Toss: Your captain must report to the referee tent 30 minutes prior to kickoff for the coin toss. Each captain is to bring the starting lineup sheet and the jersey color. If you are late, the process will go on without you.
Match Subs: You must submit an official starting lineup to the ref at the coin toss. Your 7 allowed subs per game need not be declared at this time. Fill out only the starting 15. As a sub reports onto the pitch, the referee will enter his name onto the sheet, keeping track of your total subs and players names in the match. CIPP #s are not necessary on this sheet, as they have been checked at formal team check-in. (These same sheets will be used as recruiting tools for the USA Coaches watching the games- keep in mind that this is a great venue for your players to be seen by these coaches and invited to formal camps.
Game times: are 25min halves due to the IRB rulings on maximum time allowed for Under 19 players to play in a 24 hour period. Overtime: Teams will play a 5 minute sudden death OT. If still tied after this 5min period, we go to kicks. Each team will select 3 players (from the field of play only) that will take 3 kicks at goal from behind the 22 directly in front. The other team must then repeat and beat the results to win, or match the results to force another repeat. If repeated or tied again the ball starting point is moved back 10 meters. This format will be used in all games except for 3rd-4th place and 1st-2nd place games that determine seeds to National Championships- where a 10 minute period (NOT SUDDEN DEATH) will be played & repeated until a winner is declared.
Tournament Awards: A formal presentation of trophies, awards, and bid acceptance to Nationals will follow in the pavilion after the championship game (about 3pm local time). The 3 teams advancing are required to attend and all teams are welcome.

I still haven't recieved anymore information reguarding the tournament. We do however need to get a count of everyone that is going so we can book hotel rooms this weekend. Paul and I have agreed that we need one adult per four players. I have thirty four players on our roster. Excluding Paul and myself we need nine parents to chaparone this trip assuming everyone goes that wants to. There are still people that have not turned in dues or paperwork and will NOT be playing if I don't have you checked off my list by monday. We need a starting side of fifteen and we will be allowed seven subs. The only other subs allowed are for a blood bin or loss of a front row player due to injury. Right now I honestly couldn't tell you who our starting fifteen or seven subs are, but I would like to encourage everyone to come even if you know you will only be there to support your team. I don't want anyone to feel excluded from this, it is not something we do every year and I want all of you to experience the tournament. Please confirm with me either by phone, email, or at practice that you are going so I can get a deffinate head count. For those of you that plan on bringing your entire family and would like for me to reserve an extra room please let me know. I plan to book rooms nine rooms this weekend as a rough start which will cover the starting fifteen, seven subs, two coaches and nine parents. I will hopefully have a per person cost by mondays practice. Lastly, we plan to leave Wylie around 5:00pm Friday to head for Elkhart. I will keep everyone informed as I recieve information.

Today I recieved an email from the VP of the league that there was an opening available in the Midwest tournament in Elkhart. We are the next in line to go from Michigan and have a 90% chance to go as long as everything is confimed. Therefore we really need parent support in organizing this weekend to Indiana. I sent an email to the head of the tournament asking for information to help us get organized. I should know more wednesday at the game.

Good job today at Brighton. Being first in the state is a difficult position to hold onto. We cannot go into every game and assume we will do well just because our opposition is ranked below us. Brighton did a good job exploiting that today. There have only been two teams this year to have scored on us and only one to have scored before us. We need to play every game with the same concentration and intensity we had against Birmingham. Below is a good reminder.

I wanted to congradulate all of you this week for a very hard earned win. Everyone was unselfish with the ball and maintained composure throughout the game. Our goal line stand at the end of the first half crushed their morale and was a huge turning point in the game. As with most games the forwards were the unsung heros and stood up a very strong and well drilled pack. As for the the pretty backs, you all made it look easy in the second half. This week was a big step forward to remaining undefeated this season. Keep up the hard work.

The scrimmage Saturday is still in the works mostly due to the relentless Michigan winter. If we don't scrimmage CC Saturday we will have a team scrimmage/practice at the Webster Church field around noon.
Outdoor practice Friday the 14th 4:00-6:30pm, at Webster Church, rain or shine. Come to practice ready to work and prepared for the weather. We have a lot of work to do before April.

The schedule is posted for the 2008 season. We only have six games due to the way our spring break falls. Good news is we only have to travel to one of the Ohio teams, Findlay.

The meeting will mostly consist of a brief overview of the season, and discussion over the topics mentioned in the player parent letter.

DEXTER RUGBY
Dear Players and Parents,
Welcome to the 2008 Dexter Rugby season. As we enter our fourth season we are excited to continue the success of the past three years. In 2005 a group of high school students and two college students decided to form a high school rugby team for Dexter. In our very first year we finished as division three champions. The team has improved with every succeeding year. In 2006 we moved into division two and finished in second place. Last year we earned a place in division one and ended the season ranked sixth in the state. This success has afforded the players, coaches and parents a great source of pride as well as opportunities to grow as individuals and as a group. In the 2008 season we will have many opportunities to advance as a team.
This year there are two major opportunities for the Dexter Rugby team to grow as a team and as an organization. The first opportunity is a possible chance to play in the Midwest Rugby tournament, held this year in Elkhart, Indiana May 9 and 10. There are three available seeds for Michigan. We have to express a commitment to go by April 3. On April 17 the MYRA officers will select the three teams with the best current season record from those who have made the commitment to attend. There are nine teams in Michigan that have expressed an interest in this tournament. As a higher ranked team we have a good chance of making the cut if we can commit to the financial requirements. The three teams that go from Michigan will be placed in a 16 seat bracket for the Midwest (six states). The top four teams at the Midwest Tournament are required to go to nationals held in Pittsburg, PA May 30, 31 and June 1.
Our second growth opportunity as an organization is to expand our support of these outstanding young athletes. As many of you know the availability and condition of playing fields has been a problem that constantly plagues our team. The fields we are able to use are not maintained as playing fields. We have to schedule practices around limited field availability, construct removable goals and sometimes have to cancel due to poor field conditions. In support of this program the Webster Township board has informally agreed to allow us exclusive use of a field located near their Township Hall. To have this opportunity we are required to make the improvements needed to make this a regulation rugby field. The first bid for these improvements comes from Todd’s Services for $10,000 which includes a full size rugby pitch with a 5m border, new athletic turf and proper drainage. The challenge we face is gaining the financial support needed to make this opportunity a reality.
An important element of our success has been our parent and community support. With the challenges and opportunities that we face this season we need to refine and strengthen that support. There will be a parent meeting immediately following next Sunday’s practice. Opportunities for parents to help include, but are not limited to, the following:
-Organizing social parties after home games, after the old boys game, and year end party
-Maintaining team records, collecting physicals, permission forms and dues etc…
-Acting as a team liaison with the Webster Township Board/organize field improvement
-Fundraising to support the team, our bid for the Midwest Tournament, and the new field
-Soliciting community and corporate support
-Organizing transportation, and accommodations for the Midwest Tournament
